Adding Value to Library Entries - Comments, Links, Favorites etc.

Find a File

Overview

By going to the Libraries tab on the menu bar you will be able to browse all the libraries you have access to on the Online Community.

The All Libraries drop down menu provides quick access to several of the most popular libraries; Financial Planning, Practice Management, ACA Membership, Tech Support & Suggestion Box and the Board-Community Cafe. 


Notice you can add any library to your RSS feeds from this screen. Clicking the RSS icon will open up a new window for you to manage your ACA Online Community RSS Feed and then enter that feed link into the reader of your choice. 

From this window you can search the libraries or click on the name of any library to access the files within it. 

The entry window for a library allows you access to not only the files for that library but also tabs to access the discussions, blogs, events and members of the community you have selected. 

There are two views available for a library - List by file name or Folder views. You can toggle between the two views as needed.




FOLDER VIEW: 
Double click on an entry on the right column to access that file. 

Click on the folders or folder names on the left to display the contents of that folder in the right column. 

 
LIST VIEW:
Sort the list as preferred. The list will default to alphabetical, but you may select Most Recent, Top Scorer, Most Viewed or narrow down your list to Documents, Slide Shows, Images, Audio, Video or Other. 


You may click on the name of the library entry to access further information such as the description, comments and related links; or simply click on the file names to download immediately.
   
 

Sharing/Uploading Files (Advisor Sharedocs) AKA Adding a New Entry

To upload a file click on Add a New Entry under the Libraries tab.  


Enter a descriptive Title and brief description. Avoid names like "Article", but rather "Tax Changes 2012 - an Article by John Doe". 







Select a Library from the pull down menu. 


Once you select a library the folders for that library will appear in a pull down menu. Select the appropriate folder.  

Select the type of entry you are creating. (see FAQ on 
What types of files can I upload? for further information) 


Then click Next.

Copyrighted Files

Click Browse, then select the file you wish up upload. 

You can pick multiple files by clicking each "Browse" button.

If you want more than 3 files in your document click "Add Another File".

Once you have selected your files click Upload File(s). 

When the upload is complete you will see the file(s) listed under "Existing File(s)". Then click Next. 
 
Select the type of license you need. 

If you realize you don't need a license, just select "No License", you don't need to return to the original upload screen. 

If you don't know what license you may need, don't forget the blue help button! A Yellow box with license information will pop up if you click the blue help button. 

Keep in mind ALL files uploaded are subject to ACA's Intellectual Property License Agreement. These licensing options allow you to build on that agreement and set additional terms of use.  

Click Next. 

Hyperlink

Enter the full URL for the hyperlink. 

Enter the link text you wish to have displayed. 

Click Next. 
Standard Files

Click Browse, then select the file you wish up upload.
You can pick multiple files by clicking each "Browse" button.

If you want more than 3 files in your document click "Add Another File".


Once you have selected your files click Upload File(s). 


When the upload is complete you will see the file(s) listed under "Existing File(s)". Then click Next.
 
You may enter a Title and Description for each file.

Title is file name if the original file
name is not descriptive. Otherwise, it is not necessary.

Description displays as a tooltip when a user's mouse hovers over the file name/title.


Webinar
 
Enter the full URL for your webinar.

Enter the length of the recording.

You may also enter the presenter's name and a link to their profile.           



If you have a survey associated with the webinar include to link to that as well. 
 

 
YouTube Video




Within YouTube
 a link will display. 









Copy that link and Paste 
in the Online Community.

And finally... 
Don't forget to add tags when prompted to aid in searches. At a minumum be sure to select one ACA Community Tag (Advisor Sharedoc, Committee File etc.), one Document Use tag and one from either Financial Planning or Practice Managment.  You may have up to nine tags in multiple categories. That's OK! Tags just make it easier for everyone to find your files. 
  
Then click Finish.

Adding Value to Library Entries - Comments, Links, Favorites, Ratings etc.


You can add value to your own Online 
Community experience by adding files to your Favorites or RSS Feeds. 

Once you click "Add to Favorite" the file will be accessible under the Library tab via the "My Favorites" drop down menu item. 

You may also select "Add to RSS Feeds" You can manage your RSS feeds using the My Profile tab "My RSS Feeds" drop down menu item. 


Add to the robustness of the library by adding your comments and related links.


Let everyone know what you think of a file. Just click on a star rating to let others know how much you like a library entry. 

You will be able to see how many ratings have been given and the average of all the ratings for that file.

Find a File 

By going to the Libraries tab on the menu bar you can access the Find a File menu item. You may either to a simple search based on keywords, or a posted date or the Author. 

If you need more detail search assistance you can expand any or all of the links to access tags, specific libraries or narrow your search to a specific file type.
